Job Overview

The Clinic Administration Assistant will be responsible for providing excellent, safe, and compassionate medical care in accordance with best practices during our daily and triannual outreach. This position collaborates with our In-Country RN, Medical Missions Manager (MMM), and Director of Medical Missions (DMM) to coordinate logistics for our medical clinic scheduling and clinic volunteer opportunities. This position is a renewable two-year term.

This role will be directly involved in the mission of Healing Nations to glorify God through aiding in the organization and administration of clinic to aid in the process of offering compassionate care that leads to physical and spiritual flourishing.

Pre-Field Requirements

Support Team Building

All Healing Nations staff develop a personal support team to partner with them in this ministry. Your team supports you in your ministry position through prayer and financial gifts. How much you need to raise will depend on many factors such as experience, family size, the cost of living where you are located, etc. Our staff will work with you to determine your goals after you have been accepted for a position.

The funds you raise for support will cover the following:

  • Salary
  • Personal ministry expenses
  • Liability Insurance (required during your full time of service)

Insurance and other benefits (i.e. retirement) will be factored into your support-raising goal but are not provided directly by Healing Nations.

Missionary Training & Orientation

Healing Nations requires all missionaries living abroad to attend a pre-field mission orientation program provided by Mission Training International in Colorado Springs, CO. This expense is not covered by Healing Nations but can be paid for with support raised.

Relationship to the Mission of Healing Nations

The mission of Healing Nations is to glorify God by cultivating spiritual and physical flourishing through cross-cultural ministry. The Clinic Administration Assistant is actively engaged in providing structure and organization for the medical care being offered to the under-resourced in Guatemala.

Duties, Responsibilities, & Authority

  • Work in cooperation with the Director of Medical Missions (DMM), Medical Missions Manager (MMM), and in-country Charge RN and complete tasks as delegated
    • Make scheduling templates prior to outreach
    • Address scheduling questions and concerns with RN/DMM
    • Make patient reminder texts/calls in advance
    • Carefully review patient information and enter patient numbers as the patients are scheduled
    • Update the patient registration information as needed, checking for errors and/or duplicate charts
    • Assist RN in clinic set up
  • Attend weekly huddles, debriefs, and meetings
  • Organize and lead translators/volunteers for triannual clinics
    • Recruit translators and volunteers as needed for medical providers
    • Finalize translator schedule with In-Country RN
    • Lead volunteer training alongside of RN
    • Ensure proper licensures are active without claims for licensed professionals living in Guatemala
    • Facilitate background checks and/or RENAS before proceeding with volunteer involvement
    • Ensure liability waiver is signed by all volunteers and translators living in Guatemala
    • Send volunteers the location pin and directions to clinic
    • Communicate with HN Team Leader/DMM for translator missed days
  • Ensure all paper printing is completed before outreach

Experience Required

  • Dedicated Christian with current church involvement
  • 3+ years of administrative experience
  • Previous cross-cultural ministry experience
  • Previous experience with Healing Nations Medical Ministry (two consecutive medical mission trips)

Skills Required

  • Competent with Healing Nations EMR software
  • Competent with Microsoft programs (Outlook, Word, Excel)
  • Bilingual; must be in Spanish classes until proficient in speaking (including medical terminology without a translator)

Remote work (from home via computer and phone) should be expected
